What is ‘Sync’?

Sync is the operation by which a file and changes made to a file are uploaded from one computer to the Qbox cloud server over the Internet, and then downloaded to the computers of all shared users. When a sync is completed by Qbox, all users will have identical copies of the data files on their local storage.

When is a file synced?

After a file has been opened and locked, Qbox will sync the file when it is closed. In ‘Auto Sync Mode’, Qbox will initiate sync automatically in a few seconds, after confirming the file has been closed. In ‘Manual Sync Mode’, sync will start when the ‘Sync Now’ button on the Qbox Explorer is clicked (top right corner of Qbox Client/Explorer). Please note that if the file is not locked when opened, Qbox will not initiate sync even if changes were made to the file.

How do I Set the Sync Mode to Manual or Auto?

On the Qbox Explorer, go to ‘Settings’ and look under the Sync Mode column. Select the mode desired.

What is Fast Sync?

If you have good Internet speed (5 Mbps or more, upload and download), and a modern multi-core processor-based computer, you can enable Fast Sync to realize 2X to 4X increase in sync speed. To enable fast sync, on the Qbox Explorer select ‘Settings’ and check the box for ‘Enable fast sync’ listed under the Advanced settings column.

Can I pause Sync?

You can pause sync by checking the box provided under Settings, in the Sync Mode column. When this box is checked, file sync up and down will be disabled. You can open and lock a file to work, but the file will not sync when closed. Use pause sync to avoid data usage while on a mobile hot-spot Internet connection. Sync can be enabled when you are back on a more preferred network.

I closed the file, why is it not syncing?

If the file was locked and syncing did not start after the file was closed, please check the following:

  • If your Sync mode is set to Manual, you need to click the ‘Sync Now’ button to initiate the sync.
  • The file could still be open by the QuickBooks process running in the background. You can use the Windows Task Manager to end the process (QBW32 or QuickBooks32) or simply restart your computer.
  • If the file is located on a server, the file could be open by a process running on the server. The server may have to be restarted to close and sync the file.

I am getting a 'Sync Error' while a file is syncing, what can I do?

Click the ‘Error’ button that appears next to the ‘Sync Now’ or ‘Auto Sync’ button on the Qbox Explorer and follow the suggestions listed in the message that appears. Please note that there is no need to uninstall and install the Qbox Client again, as this will not resolve the sync error.

I copied a file into Qbox but sync did not start, what can I do?

When a file is copied into the Qbox Explorer, it should get locked and then synced. If the file was copied into the Qbox folder in the Windows File Explorer, it should get locked and synced when the Qbox Explorer is refreshed. If syncing does not start, there can be a few reasons:

  • You may have copied the file directly into the ‘Qbox’ folder or the Root folder. Please make sure you copy the file into a Sync folder you have created, otherwise it will not sync to the Qbox cloud.
  • Qbox may be in Manual Sync mode. Sync needs to be initiated by clicking the ‘Sync Now’ button.
  • The file type may not be supported. Please see our FAQ regarding supported file types.

After I initiate a sync, can I open the file and acquire the file lock once again?

You can close the file to initiate sync for the changes you made, then open the file again and acquire the lock to continue working while Qbox is syncing the previous version in the background. When syncing starts, the Qbox icon in the system tray of your computer will first turn orange and then green with a circular arrow. Open the file after the icon turns green. Do not open the file when the icon is orange, as this will interrupt the syncing process.

What happens if I do not initiate sync after making changes?

If you do not initiate sync after making changes, other users will not get the latest changes you made, the file lock will not release, and they will essentially be ‘locked out’ of the file until you initiate sync. You can retain the lock as long as you need to keep making changes. Please note that the Qbox cloud will have a version of the file only after it is synced.

How do I receive the changes made by others?

Changes made and synced by other users are synced automatically from the Qbox cloud server to your file. Their file needs to be closed to sync the changes. If the file is open, Qbox will prompt you to close the file.

What happens if I have the file open and changes made by another user needs to be synced?

If the file is open when Qbox tries to update the file with changes made by another user, it will prompt you to close the file. Once the file is closed, Qbox will update your file in a few seconds, after which you can open the file again.

Syncing is taking a long time on my computer, what can I do?

This can happen when Internet speeds are insufficient. You can check your Internet speed on Google here: Internet Speed Test. Click the blue ‘Run Speed Test’ button. You may also use websites like www.speedtest.net or www.fast.com. If you have a wireless connection, you can try switching to a wired connection to see if the speed improves.

How do I hide the sync messages?

To hide the sync messages, open the Qbox Explorer, go to ‘Settings’ and uncheck the ‘Sync Messages’ box in the Messages column. Sync messages can be enabled again by checking the box. Please note that unchecking the box will not disable the lock messages, as these cannot be hidden.
