CoraCloud: Organizer Templates

When you find that you are creating the same organizers and tasks that you use repeatedly, you can save time and effort by creating an organizer template to quickly send out these sets of tasks over and over again.

Creating an Organizer Template:

Step 1: Click on the ‘Tasks’ tab at the top of CoraCloud.

Step 2: Next, click the ‘+ Tasks’ button and choose ‘Create Tasks in an Organizer’.

Step 3: Click on ‘Create New Template’ in the pop-up window.

Step 4: On this screen, you'll want to give your template a name and description. You can add the required types of tasks here and choose if the order of these tasks needs to be enforced as well.   

You'll notice here that you are not able to select a Client or Entity. You'll also not be able to pick file locations, assignees, or due dates as this is a template designed to be used with any Entity at any time.

Step 5: Once you've added the required tasks and are satisfied with the setup, you can click on ‘Save’ in the lower right-hand corner to save the template and add it to your list of templates. If you need to return to finish editing this template, you can click on ‘Save Draft’ and come back later.

Applying an Organizer Template:

To use a previously created Organizer template, follow the steps below.

Step 1: Click on the ‘Tasks’ tab at the top of CoraCloud.

Step 2: Click the ‘+ Tasks’ button and choose ‘Create Tasks in an Organizer’.


Step 3: On the pop-up window that appears, select ‘Use Your Template’.

Step 4: On the next screen, click on ‘Use Template’ located across from the name of the template you wish to utilize.

Step 5: In the next window you will enter the basic information for who will be doing the tasks listed in the template and confirm the task details. You need to select the Client, Entity, and Assigned Users. Clicking on ‘Add Details’ will allow you to add the task details and save each of the tasks listed in the template. If you find that a particular task is not necessary with this current client, you can always delete the task by clicking on the ‘X’ icon in that task's row.

Step 6: Once all tasks have been listed, assigned, and details saved, you can click ‘Launch’ to launch the Organizer. You may click ‘Save as Draft’ if you are not finished and wish to finish later. 

Step 7: You'll be asked if you would like Cora's assistance with reminding users about their tasks. Cora can be enabled to follow up with task owners via email every 72 hours (friendly) or every 24 hours via SMS text and email (firm). You can read more about the Cora Assistant here

Step 8: You'll be brought back to the Task screen. The organizer and tasks you just created will be active and CoraCloud will have notified all participants.
